Instructions for Workshop Organizers

Thank you for presenting your workshop in conjunction with CVPR 2019. Please note and follow these instructions to organize your event.

Please bookmark this page as we will update it with further details as they become available.

Logistics

Date and time

Workshops will be held on Sunday June 16 and Monday June 17 2019. The time (morning, afternoon, or full day) and date of each workshop can be found here. Specific room information will be released in due course.

Schedule your workshop within the following windows (these are just bounds, there is no need to fill the ranges entirely):

  • Full day events: 8:00 AM to 6:00 PM
  • Morning events: 8:00 AM to 12:30 PM
  • Afternoon events: 1:30 PM to 6:00 PM

Organizers are free to use the alloted time in the way they prefer, but we reccomend to take into account the breaks listed below.

Posters

The conference will provide space for posters.

Equipment

In addition to the poster boards, the standard equipment available to each workshop comprises:

  • Podium
  • Microphone
  • Projector
  • Screen
  • Aisle microphone (for the audience)

Catering

There will be breakfast, two coffe breaks (morning and afternoon) and lunch, as follows:

Organise your workshop around these breaks, but note that there is no need for exact synchronization, especially for the coffee breaks.

Complimentary registration

We offer one (1) one-day complimentary registration per workshop to use for speakers or organizers.

If they want to do a full registration, we will deduct that one-day value from the full registration. Please use the discount count WorkshopOrganizer on the registration type you would normally select when registering.

Please be sure that only one person associated with the workshop is using the code. If we find duplicates, someone will have to pay the balance.

With a one day pass you are welcome to attend any sessions on that day. With a full registration you are welcome to attend anything and everything.

Invitation letters for visa

Your presenters may requrie an invitation letter for a visa. To obtain one, they will need to register first and then follow the instructions in the registration website.

Proceedings

If you wish to have proceedings for your workshop, we offer two options:

Option 1: CVF only

This option applies if you wish to publish the papers at the CVF open access archive only.

  • Papers and extended abstracts are acceptable.
  • You will have to send the manuscripts to Walter J. Scheirer.
  • The camera-ready deadline is May 17th (you must send the papers to the publication chairs by then).

Option 2: IEEE Xplore & CVF

This option applies if you wish to publish the papers in CVF open access as wel as in IEEE Xplore.

  • Only full papers can appear in IEEE Xplore (no extended abstracts).
  • Workshop organizers must use a CMT site to handle these papers. You will be required to provide the URL to the CVPR publication chairs, who will then include the accepted papers in the proceedings.

  • Publication in IEEE Xplore requires a significant lead time. The relevant deadlines are as follows:

    Final Paper Submission Due Also have the front matter/cover logos and images, the schedule, keynote(s), publication list (oral/poster) ready and supplied to the publication charis at the address at publications-cvpr2019@googlegroups.com. Send them also the link to the CMT site so that they can collect the papers to be added to IEEE Xplore. 19 April 2019
    Organizer Review of Publication The Publication Chairs will provide a draft of the conference booklet for checking. 10 May 2019

CMT site

You may wish to use CMT to handle the papers in your workshop, and you must do so for the IEEE publication option.

In order to setup a CMT site for your workshop, follow these steps:

  • Request a new CMT site here.

  • Once in CMT, input the following information:

    • Chairs: names, e-mails, organizations and countries of the workshop organizers.
    • Conference detail: full name of the conference, short name, city, country, dates, paper submission due date, external URL, research/subject area, how many submissions do you expect, etc.
    • Paper guidelines. Consider adopting the same paper guidelines as for the main conference.
    • Program committee. Define the program committee (reviewers) and add them to the CMT site.
    • Call for papers. Announce the Call for Papers on the workshop's website.
  • Handle the review process through CMT: assign papers to reviewers, collect the reviews, make the decisions, and make sure to receive the final versions of the papers by the camera-ready deadline of the workshop.
